How can additional information be displayed in requests for approvers?

Use the Additional Information field set. Fields in this field set are displayed in all employment change requests (HR requests).

How can an existing HR request type be removed?

If an HR request type is no longer being used, remove it from the HR Request Types tab.

Can a validation rule be used for an email address to ensure it is not more than thirty (30) characters?

Yes, you can use a validation rule with the LEN function:

How can the manager receive an email when a new employment change request is sent?

You have a couple of options for notifying manager when an employment change request is sent from People Management Workflow: 

  • You can set up an action event based on the New trigger for the HR Request object. For more information, see Action events.
  • You can set up the notification as part of the approval process. You can add an email alert to the Initial Submission Actions. Select Related User: Manager or Creator as the Recipient Type for the notification.

How can a notification be sent when an employment change request has been finalized? 

You can use the Finalize trigger for an action event from the HR Request object. For more information, see Action events.

Can an employment change request approval process contain a rejection reason?

Yes, you can send an email alert to the manager when the request is rejected, and the notification message can include comments. Use the Salesforce merge field {!ApprovalRequest.Comments} to include the comment.

Are dependent picklists supported in People Management Workflow?

Yes, but these dependencies must exist in the source fields for the HR Request object—the Team Member, Employment, Salary, and Bonus objects.

Will approval processes, action emails, or workflow rules set up for the legacy HR Requests process work for People Management Workflow (PMW)?

Yes, People Management Workflow is a new front end using the same HR Request object as the legacy HR Requests process so all existing configuration is expected to be fully compatible.

However, Sage People recommends checking when migrating from the legacy HR Requests process to People Management Workflow. For example, you may have created new HR request types for People Management Workflow but assigned different reasons for them that may not be compatible with the existing custom logic applied to approval processes, action emails, workflow rules, or Flows. For example, your processes may be configured to run where Reason = “Contract Change” but in People Management Workflow you now have the reason as “Change of Contract”.

Can employment change requests be automatically approved?

No. People Management Workflow has been designed to use an approval process, the same way as the legacy HR Requests process uses an approval process.

If you need employment change requests to be automatically approved, you have two options:

How many requests can I create at the same time in People Management Workflow?

You can create up to 10 requests in People Management Workflow at a time.

Does delegated access work with People Management Workflow?

Yes, for more information see Delegated access for assistants.

What is the maximum file size for attachments in People Management Workflow?

The maximum size file limit for employment change requests in People Management Workflow is 2.2 MB.

Is it possible to add formula fields to display data on new requests?

No, but you can add field level help text to editable fields to provide additional information to managers in WX.

Can I filter a Salesforce User lookup for approval purposes in People Management Workflow? 

No, WX does not respect lookup filters.

Can I configure any process I like via People Management Workflow (PMW)?

No, People Management Workflow is designed to cater for employment change requests of type available through legacy HR Requests process. Processes or workflows such as transfer, rehire, internal hire are not supported at this time.

Can I configure as many processes as I like via People Management Workflow (PMW)?

There are a finite number of HR processes and this is not expected to be a problem.
