How forms work

Forms can be deployed in a number of ways in Sage People HCM and Recruit in order to capture information from team members, candidates, or external contacts. The diagram that follows shows the flow of information from form creation to updating records.

  1. HR administrators create a form definition. For definitions determine the structure of the form, the questions and options that will be presented to users, the form location (URL), email notifications, and any data links that the form will use.

  2. When the form is deployed, it can be opened from within WX, or accessed using a link that is emailed to the form's recipients. Forms can be applied to an HCM policy, triggered manually, or triggered by an action event.

  3. Users complete the form and submit information back to the system. Forms can be completed by existing team members, pre-boarders, candidates, or referees.

  4. Email notifications and reminders can be sent to form actors or managers at various stages.

  5. Form responses are saved as form objects.

  6. Data links define the ways in which form responses are written back to data objects. Forms can also use data links to pull information from existing records to display on the form. This information can be displayed statically (such as the team member's name), or updated by the team member and written back to the data object.
